The Challenge
Ultra Botanica was born out of a genuine scientific breakthrough. After years in biotech and botanical drug development, founder Adam Payne and his collaborators solved a problem that had stumped multiple pharmaceutical teams: how to meaningfully improve the bioavailability of curcumin. Their answer, binding the polyphenol to a protein scaffold to act as a prodrug, produced results dramatic enough that early users sought the product out by word of mouth.
But a promising compound is not a business. To commercialize it, Ultra Botanica needed to manufacture at scale, and to do so under Good Manufacturing Practice (GMP). The contract route was a dead end: the specialized equipment meant a single batch could cost roughly half a million dollars, with unknown shelf life. The alternative, building GMP in-house, looked just as daunting. Adam Payne’s best estimate was that he would have to “lock myself and a couple of people in a room for about six months” to create a paper GMP system from scratch. No off-the-shelf solution, and no prepackaged document set, existed for implementing GMP at a small scale.
The Turning Point
About five years ago, the decision came to a head: build it themselves or shelve the technology. With a large purchase order in hand, the choice was made. Ultra Botanica would stand up its own micro-scale GMP manufacturing operation. Payne already knew InstantGMP from a prior company, and when the moment came, Ultra Botanica bought into the platform and adopted its core GMP SOPs and policies.
“Over the course of about two months, we signed over a hundred GMP documents, SOPs, and policies into existence, went to the InstantGMP facility in North Carolina, got training on the software, and made a go of it.”
— Adam Payne, Chief Executive Officer, Ultra Botanica
Implementation: Learning GMP by Doing It
Payne is refreshingly candid about the early days. The team understood their science deeply, but not yet the discipline of GMP. Materials and specifications, project structure, and the testing regimen that GMP demands, identity and potency on incoming materials, in-process checks, and a finished-product specification, were unfamiliar territory.
“We set it up completely wrong from the beginning. We did not understand core GMP philosophies and requirements … but boy, we learned as we got into it and started to manufacture in earnest.”
— Adam Payne, Chief Executive Officer, Ultra Botanica
What turned that learning curve into lasting capability was the software’s built-in GMP workflows. A material arriving at the facility automatically entered quarantine status, and only someone with quality-assurance signature authority could move it to accepted or rejected. That single workflow taught the team a principle that now runs through the whole operation: independent authorities within the GMP environment, each responsible for a different part of the process.
How the Software Changed the Way the Team Works
As Ultra Botanica matured, the InstantGMP batch record system reshaped day-to-day production. The Master Production Records and Batch Production Records build GMP requirements directly into the work, with performer, verifier, and quality signatures, real-time inventory deductions, and step-by-step controls that keep batches on the rails.
“The software has enforced a GMP mindset. The human instinct is to cut corners and do things as quickly as possible. The GMP requirements mandate a set of processes we have to follow.”
— Adam Payne, Chief Executive Officer, Ultra Botanica
The scope of what Ultra Botanica runs has expanded dramatically. The company started in a single 20-by-20 room making only the conjugate and outsourcing the capsules and bottling. Today, everything is done in house, from raw materials all the way through to finished goods, across multiple product types, supported by quality agreements that divide GMP responsibilities with outside partners.
Proof Under Audit
Compliance is only as good as it looks to an auditor. Ultra Botanica has now been through third-party GMP audits, and each one surfaced something the team could improve. When one audit revealed the company lacked a formal sampling SOP, the team went back into the software and implemented a compliant sampling regimen, rather than scrambling to rebuild a paper process.
The clearest proof came during an FDA inspection. The same investigator had just finished a grueling week at another supplement manufacturer running on paper, pulling a product from the shelf and demanding complete chain of custody, identity, and potency testing back through every manufacturing step while the staff hunted through binders.
“Instead of spending a whole week running around looking for documents, he pulled the product off the shelf, and we went through chain of custody and an audit on that product within about an hour and a half using the InstantGMP software.”
— Adam Payne, Chief Executive Officer, Ultra Botanica
Using the platform’s traceability reporting and audit trail, Ultra Botanica walked the investigator from finished bottle back through every manufacturing batch, with transparent testing at each step, including the FTIR identity trace captured in the packaging batch record and matched to the bottle. What might have been a week-long inspection wrapped in about two days.
“He was highly impressed … he said that was the quickest audit he’s ever been through. He was out our doors by Wednesday.”
— Adam Payne, Chief Executive Officer, Ultra Botanica
Results
- Fully in-house manufacturing. Scaled from a single 20-by-20 room making one material to end-to-end production of multiple product lines, from raw materials to finished goods.
- Audit-ready, every day. Passed third-party and FDA inspections, with built-in workflows that keep the operation continuously compliant.
- ~90-minute traceability. Complete product chain-of-custody and testing history reconstructed in about an hour and a half during an FDA inspection, turning a potential week on site into roughly two days.
- A built-in quality culture. Quarantine-and-release controls and signature authority instilled a quality mindset across the team, with every member clear on their role.
In Adam’s Words
“Your software has enabled us to be confident in our ability to execute products that we know meet the requirements of the law, in a manner that is predictable and manageable, where each member of my team absolutely understands their role and function. Without your software, I think we would be lost.”
— Adam Payne, Chief Executive Officer, Ultra Botanica
